CMMS vs field service software: which one do you need?

CMMS is for maintaining your own equipment; field service software is for dispatching technicians to customer sites.

Short answer

Choose CMMS if the main job is maintaining equipment your organization owns or operates. Choose field service software if the main job is scheduling and dispatching technicians to customer sites. If you do both, you may need both: CMMS as the asset and preventive-maintenance system of record, FSM as the customer, scheduling, and invoicing layer. The simplest test is this: are you optimizing uptime for your own assets, or service delivery for your customers’ assets?

What buyers usually confuse

The overlap is real. Both categories can include work orders, mobile apps, asset records, and technician activity. That is why buyers confuse them.

The difference is the center of gravity:

  • CMMS starts from the asset and asks, “What maintenance does this machine, building system, or fleet unit need next?”
  • Field service software starts from the service event and asks, “Which technician should go where, when, and what happens before and after the visit?”

That distinction matters because it changes implementation priorities. A maintenance director usually cares first about preventive schedules, parts, failure history, and auditability. When you need both

Some businesses genuinely straddle the line.

You may need both CMMS and FSM if you:

  • maintain your own plants, facilities, or fleet while also sending technicians to customer sites,
  • service complex installed equipment where asset history matters as much as dispatch speed,
  • run commercial mechanical or OEM-style service with recurring maintenance agreements,
  • want one layer for internal maintenance records and another for customer-facing scheduling and billing.

In those cases, CMMS is often the maintenance system of record, while FSM runs scheduling, dispatch, customer communication, and invoicing.

Are we buying software mainly to improve uptime on our own assets, or mainly to improve technician dispatch and customer service?

If the first half of that sentence feels more urgent, shortlist CMMS first.

If the second half feels more urgent, shortlist field service software first.

If both feel equally urgent, plan the architecture deliberately. That usually means deciding which system owns:

  • asset records,
  • preventive-maintenance schedules,
  • customer and site records,
  • technician scheduling,
  • quotes, invoices, and payments.

That ownership question prevents the most common failure mode in hybrid evaluations: buying a “does-everything” platform that does the secondary workflow badly.

Can field service software handle assets and work orders too?

Yes, many FSM platforms can handle asset records and work orders. The issue is not whether the feature exists; it is whether asset-centric maintenance is the product’s core design priority. Dispatch-first products often handle service history well enough for contractors but are thinner on preventive-maintenance depth, parts control, and internal maintenance planning.

Can a CMMS handle mobile technicians in the field?

Yes. Many CMMS tools support mobile work orders, inspections, photos, and technician updates. That still does not make them the best choice for customer scheduling, route optimization, quoting, dispatch coordination, or service invoicing.
