Overview

Fleetio is a fleet management platform built for maintenance-heavy operators that need to keep vehicles, equipment, parts, inspections, work orders, fuel, and telematics data in one place. Its public LinkedIn profile says it launched in 2012 out of Birmingham, Alabama, and that fleets in more than 80 countries rely on it to track and improve operations. The same profile also says teams use Fleetio to manage hundreds of thousands of vehicles, equipment, parts, operators, and more.

Fleetio’s own public sitemap shows a broad product surface: maintenance scheduling, vehicle service history, inspections, issue management, work orders, purchase orders, dashboards, analytics, lifecycle management, parts inventory, tire management, workflow automation, Smart Uploads, a maintenance shop network, telematics pages, fuel-card pages, and a developer API. In other words, this is not a lightweight mileage log; it is a real operational system for fleets that care about uptime and maintenance discipline.

Pricing

Fleetio publishes explicit per-vehicle, per-month rates across three tiers: Essential starts at $4/vehicle/month billed annually (or $5/vehicle/month billed monthly), Professional is $7/vehicle/month, and Premium is $10/vehicle/month. All plans carry a 5-vehicle minimum. Fleetio’s 2024 Essential/Professional/Premium repackaging came with a price increase, and existing customers had to select a new plan at renewal.

The published rate card gives a reliable starting point, but final invoiced cost still depends on fleet size and contract term, so larger or multi-year deals typically involve a sales conversation to confirm the number.

Strengths and weaknesses

Fleetio’s main strength is breadth. It covers the maintenance stack end to end: preventive maintenance, inspections, service history, parts, tires, work orders, Smart Uploads, automations, dashboards, and a maintenance shop network. That makes it a strong fit when the hard problem is operational discipline rather than simple record keeping.

The tradeoff is complexity. Very small fleets may find Fleetio heavier than they need, and even with published per-vehicle pricing, fleet size and contract term mean you usually still talk to sales before you can model the real cost.

When to pick Fleetio (and when not to)

Pick Fleetio if you run a maintenance-heavy fleet and want one system for inspections, work orders, assets, fuel, and telematics integrations. It is a good fit for organizations that care about uptime, repair history, and centralized fleet data across many vehicles or locations.

Do not pick it if you only need a basic mileage tracker or if your team needs a firm, final quote without any sales conversation — Fleetio’s published rates are a starting point, but fleet size and contract term still shape the final invoice.
